What is Workforce360 HRMS?
Workforce360 is an HRMS (human resource management system) built by Qubha Infotech, Chennai, for manufacturing plants in India. It keeps permanent employees and contract workers on one master, captures attendance automatically from biometric and face-recognition devices, routes leave, permission, overtime and comp-off requests for approval on web and mobile, and runs payroll with PF, ESI, professional tax and statutory registers.
It also runs the rest of the people side of a plant - contractors, canteen, visitors, gate passes, safety work permits, induction, training, travel & expense and employee events - under one unlimited-user licence, in the cloud or on your own server.
From five systems and a spreadsheet to one
The same worker is in the device software, the attendance register, the payroll sheet, the contractor file and the visitor book. Every month someone reconciles them by hand.
Without Workforce360
- Punches exported from device software and corrected in Excel before payroll.
- Leave and OT approved on paper or e-mail - and disputed at month end.
- No daily view of how many contract workers are actually on site, or what they cost.
- Contractor licences and insurance expire without anyone noticing.
- Statutory registers assembled by hand when the inspector arrives.
With Workforce360
- Punches arrive by themselves and are processed against each person's shift.
- Every request has an approval trail - who asked, who approved, when.
- Manpower matrix by department and shift, with contractor cost, every day.
- Expiry alerts for contractor licence, PO and insurance.
- PF, ESI, wage and OT registers generated from live data, on demand.

Attendance that is ready before HR arrives
Your eSSL, Mantra and face-recognition devices push every punch to Workforce360 as it happens. Each punch is matched to the person's shift, overtime and leave, so the register is already right in the morning.
- Employees pushed to devices - enrol once; the record goes to every terminal.
- Device health on one screen - see which terminal is offline before punches go missing.
- Night shifts handled - punches across midnight land on the right day.
- Fallbacks - USB file import or a feed from your existing attendance database.
Know who is on site, from which contractor, at what cost
Most factories run with a large share of contract workers. Workforce360 treats them as first-class: their own master, their own rules, and a portal for each contractor - without letting one contractor see another's data.
- Manpower matrix - required vs deployed by department and shift, live.
- Rules per contract - overtime, paid days and work limits, with automatic debar.
- Approvals and transfers - joining approval, transfers and terminations with history.
- Contractor bill - cost statement per contractor from the same attendance.
Every employee and approver, in their pocket
The Android and iOS apps take requests off HR's desk. Employees see their own attendance and payslips; supervisors approve the team's requests from the shop floor.
- Self-service - attendance, leave balance, payslip and my forms.
- One-tap approvals - leave, permission, comp-off, shift change and gate pass.
- Notifications that reach people - push, e-mail, SMS and WhatsApp.
- Events and announcements - registration, transport, QR coupons and quizzes.

Workforce360 vs the usual options
How it differs from per-user HR software and from running attendance on device software and Excel.
| What matters | Workforce360 HRMS | Per-user HR software | Device software + Excel |
|---|---|---|---|
| Cost as headcount grows | Unlimited users and employees, no per-user fee | Fee per employee, every month | Low licence, high HR effort |
| Contract labour | Built in: portal, manpower matrix, rules, bills | Often limited or an add-on | Separate files per contractor |
| Biometric devices | eSSL, Mantra and face terminals push punches live | Varies; often a connector to set up | Manual export and cleanup |
| Plant modules | Canteen, visitor, gate pass, work permit included | Usually not covered | Registers and paper |
| Where data lives | Your server or the cloud - your choice | Vendor cloud only | Scattered PCs |
| Fits your policy | Configured and customized to your rules and formats | You adapt to the product | Formulas only one person understands |
| Support | The developers, in Chennai, on phone and WhatsApp | Ticket queue | None |

Questions people ask about Workforce360
What is Workforce360 HRMS?
Workforce360 is HR, attendance and payroll software built by Qubha Infotech in Chennai for manufacturing plants. It keeps permanent employees and contract workers on one record, captures attendance from biometric devices, routes leave and other requests for approval on web and mobile, and runs payroll with PF, ESI and statutory registers. It also covers contractors, canteen, visitors, gate passes and safety work permits.
Which biometric attendance devices does it support?
eSSL and Mantra biometric devices and face-recognition terminals that push punches over the network, with device health monitoring. Where a device cannot be reached, punches can be imported from a USB file or fed from an existing attendance database.
Can it manage contract labour?
Yes. Contractors have their own master with licence, PO and insurance expiry alerts, and a self-service login that shows only their own workers. HR sees a department- and shift-wise manpower matrix, contractor overtime, paid-day and work-limit rules, auto-debar, transfers, terminations and contractor-wise cost statements.
How is it licensed and priced?
One unlimited licence: no limit on employees, contract workers, users, departments or branches, all modules included, and no per-user or per-employee fee as headcount grows. The price depends on hosting, devices and any customization - ask us for a quote.
Does payroll handle PF, ESI and professional tax?
Yes. Payroll is calculated from verified attendance with PF, ESI and professional tax deductions, and produces the salary register, payslips, bank transfer statement, bonus, wage and overtime registers and muster roll. Attendance is locked after payroll, so later corrections create a traceable adjustment.
Can it run on our own server?
Yes. Install it on your own Windows or Linux server with SQL Server or PostgreSQL, or host it in the cloud with a domain and SSL. The application is the same either way, and one installation can run several companies and branches.
Is there a mobile app for employees?
Yes. Employees and approvers get Android and iOS apps to view attendance and payslips, apply for leave, permission and comp-off, approve team requests, receive notifications and register for company events.
How long does implementation take?
It depends on the number of units, devices and rules. We work in four phases - setup with data migration, configuration of your policy, a parallel run of attendance and payroll for one cycle, and go-live with training by role.
Can it connect to SAP or our ERP?
Yes. Workforce360 exchanges data with ERP, payroll and accounting systems such as SAP through documented APIs or scheduled file transfer, and supports Excel import and export.
Who makes Workforce360?
Workforce360 is built and supported by Qubha Infotech Pvt Ltd, Chennai, Tamil Nadu, India. Implementation, training and support come from the same team that writes the software.
